The Merchant Navy Welfare Board (MNWB / we / us) is a business limited by guarantee (no. 453053) and a registered charity (no. 212799). The registered address is: 8 Cumberland Place, Southampton, Hampshire SO15 2BH.

Your privacy is our top priority. Our obligations under the General Data Protection Regulation of the European Union, which supersedes the Data Protection Act of 1998, are reflected in the training.mnwb.org website (our website). This policy describes how and why we gather personal data from website visitors, how we use it, when we may release it to third parties, how we maintain data security, and your rights.

Please note that you do not have to provide personal information to access the information pages of this website. You may be required to register and/or provide information if you wish to participate in one of our training courses. 

Our website is hosted in the UK using data centres that adhere to high security standards in order to protect your details when you are sending us this information.

The information that you provide to us is stored within a secure online database with multiple layers of necessary protection in place.

We will retain your personal data for as long as we need it in order to fulfil our purposes set out in this Privacy Policy or in order to comply with the law.

You agree to the terms of this policy by registering and using the course website.

All pages on this website are subject to this policy. Pages hosted by MNWB and related organisations, partners, and other organisations to whom we may offer a link but whose privacy practices may differ are not covered by this policy.

This policy may be modified from time to time. If we take this action, the modifications will take effect as soon as we post them on this page.

Personal data: what is it?

Information that may be used to identify a specific person, such as name, address, phone number, IP address, or email address, is referred to as personal data.

How are personal details gathered?

When you voluntarily provide it on registration forms and through electronic actions, we gather basic personal information about you, including demographic and limited personal profile data. Nobody can use our course website without giving away any personal information. The following data is also gathered by some of our online training programmes:

  • The IP addresses and internet domains used to access the website.
  • The kind of browser (like Firefox or Chrome, for instance).
  • Your chosen operating system (Macintosh, Windows, etc.).
  • The time and date of your visit.
  • The pages you browse.

Google Analytics is used by our website to track user activity.


How are the details you provide used?

We promise to protect your personal information from loss, misuse, or alteration by implementing appropriate organisational and technical safeguards. It goes without saying that sending data over the internet is inherently unsafe, and we are unable to ensure its security. Your information will only be retained by us for the length of time necessary to fulfil your request for services or information, manage your account, support our research, and adhere to legal requirements. When information is no longer needed, we will always safely dispose of it, hiring specialised businesses to handle this task on our behalf if needed.

We protect the privacy of your personally identifiable information with industry-standard measures. Our hosting is ISO 9001 accredited, recognising quality management.

How long is personal data stored?

We routinely assess the lengths of time we keep personal data. Certain sorts of information must be kept on file by us lawfully for us to satisfy our statutory duties. We shall retain personal information on our systems for the duration required for the relevant activity or as specified in any pertinent contract you may have with us.

Who can access personal information?

Access to personal information is restricted to MNWB staff and contractors only. Strict operational procedures and processes are used to guarantee this.

Employees receive training on security systems as well as pertinent policies and procedures, which are periodically evaluated to ensure they remain current and appropriate. Every employee is informed about the latest security and privacy procedures. Colleagues are informed and/or reminded of our commitment to privacy, its value, and their responsibilities to safeguard personal information.

The Secure Socket Layer (SSL) server protects personal data submitted through MNWB portals, and the data is encrypted before being sent. In web browsers, secure pages are indicated by a lock icon or key at the bottom and the use of https: URL prefix. Any information you enter on these pages is securely saved and is only accessible for the purposes for which it was submitted.

Every IT system is maintained in a safe setting with the proper access control. In addition to internal audits, we undergo regular audits by external security firms.

What we don't do with the data we collect

Your information won't be rented or sold to outside parties.
